Key Duties and Responsibilities
Co-ordinate and Maintain the diary of the CEO/Country Manager together with organizing of all appointments, meetings, Travel Allowance and so on.
Identify, anticipate and prepare statistics required for the CEO/Country Manager for conferences, guidance etc, and observe up inward and outwards requests for statistics, brilliant reviews, and correspondence.
Arrange both inner and outside conferences asked and earlier for ordinary meetings.
Handling incoming calls and different communications
Tale dictation and minutes within the meeting every time required.
Process expense claims and advances for the CEO/Country Manager as in keeping with requirement.
Schedule group meetings, put together schedule and draft mins.
Booking and arranging travel, transport and accommodation and logistics for visitors every time required.
Reminding the CEO/Country Manager of essential tasks and hold deadlines.
Typing, Compiling, preparing reports, displays and correspondence.
Be in liaison with Senior HR Officers in all matters associated with Administration which includes rest house, office surroundings, reliable traffic etc.
Perform every other duties as assigned on occasion by way of CEO/Country Manager.
Requirements
Key Requirements
Holder of Diploma in Secretarial Studies or Business Management.
At least eight years of working experience in applicable function.
Skills and Competencies
Excellent written and oral conversation both English and Swahili language
Excellent use Microsoft Office (Words, Excel, Power Point and Outlook)
An expertise of confidentiality issues and using discretion
The capacity to work at his/her own initiative and to tight cut-off date
Typing speed of 50WPM
